Department: Operations DepartmentReporting to: VP, Production & MaintenanceJob Purpose:To maintain daily records for invoices and shipments to identify which products (ASI and Commercial) need to be replenished. To establish a system to monitor and report inventory levels daily. Align supply (production) and demand (sales & distribution) requirements accordingly and maintain optimum stock levels in the warehouse to save costs. Track inventory with lists, by most use inventory items and establish a supply chain system that estimates monthly and seasonal demand.Key Responsibilities:· Design and implement an inventory tracking system to optimize inventory control procedures. Devise ways to optimize inventory control procedures. Ensure stock levels are neither surplus nor deficit.· Classify/ categorize inventory (stock levels) as per requirements of the business. Maintain stock levels for raw materials, plant machinery/ spare parts and finished goods.· Establish good practices (policies and procedures) for inventory management and warehousing practices and implement the same as per plan.· Examine and inspect the levels of supplies and raw material to determine shortages. Ensure product stock is adequate for all distribution channels and can cover direct demand from customers.· Document daily deliveries and shipments to update and reconcile inventory.· Prepare detailed reports on inventory operations, stock levels, and adjustments.· Evaluate new inventory to ensure it is ready for distribution.· Perform daily analysis to predict potential inventory problems.· Order new supplies to avoid inefficiencies or excessive surplus.· Analyze different suppliers (raw materials) to obtain the best cost-effective deals. Evaluate suppliers to achieve cost-effective deals and maintain trust relationships.· Safeguard warehouse operations and contents by establishing and monitoring security procedures and protocols.· Maintain physical condition of warehouse by planning and implementing new design layouts; inspecting the area and related equipment’s; issuing work orders for repair and requisitions for replacement.· Achieve financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions.· Complete warehouse operational requirements by scheduling and assigning employees; following up on work results.· Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
